Information we collect
What the site gathers, and when
Browsing this site does not require you to provide any personal information. Pages, the facility and program finders, the document library and search all work without an account or a submitted form.
Some services ask for information directly: registering for a program, requesting a facility rental, submitting a public comment, responding to a survey, or writing to a department. In those cases the site collects only what the form asks for, such as your name, contact details and the content of your message.
Like most websites, the server that hosts this site automatically logs basic technical information for every visit, including the page requested, the date and time, and general browser and device information. These logs are used to keep the site running and secure, and are not used to identify individual visitors.
How it is used
Only for the reason you gave it
Information submitted through a form is used to respond to that request: processing a registration, following up on a comment, or answering a question. It is not used for marketing, and the district does not sell, rent or trade resident information to any third party.
Aggregated and anonymized information, such as how many people used a particular finder or how many responses a survey received, may be used to improve district programs and this website. This kind of summary never identifies an individual resident.
Sharing and public records
When information becomes a public record
As a public agency, the district is subject to the California Public Records Act. Correspondence sent to the district, including through the forms on this site, may become a public record and could be released in response to a records request, with the exception of information the law specifically protects, such as certain personal identifiers.
Written comments submitted for an open survey or a public comment period are published as part of that process, generally without personal contact details attached. Information is otherwise shared only with district staff and contractors who need it to do their jobs, such as a rentals coordinator confirming a facility booking.
Cookies and analytics
Keeping the footprint small
This site does not use advertising or tracking cookies, and does not share browsing activity with data brokers or advertising networks. Where the site stores something in your browser, such as a filter you selected on the facility finder, that information stays on your device and is used only to make your next visit to that page more convenient.
Retention
How long information is kept
Records are retained according to the district’s adopted records retention schedule, consistent with California law governing local agency records. Program registration and rental information is kept for as long as needed to administer the service and to meet financial recordkeeping requirements, after which it is disposed of securely.
Programs for children
Information about a minor
Recreation programs for children collect only what is needed to register and safely run the program, such as the participant’s name, age and any relevant medical or accessibility information, provided by a parent or guardian. This information is used solely for that program and is shared only with the staff supervising it.
Other websites
Links to sites the district does not operate
This site links to services the district does not directly operate, such as payment processors and mapping tools. Those sites have their own privacy practices, and this policy does not apply once you leave evergreencsd.gov.
